The problem
Every article about a client brand was logged by hand in the team’s database. Someone had to read the alert, open the article and decide whether it counted. Then find the right row, fill in the fields, take a screenshot, save a PDF and write the Instagram caption. An article that came in some other way, by email for instance, could go unlogged without anyone noticing.
What we did
Every morning at 7 am, a routine reads the press alerts and the PDFs or screenshots the team forwards. AI sorts them and finds the right row in the database, including pitches that never got a reply.
The result is an email with a suggestion for each article and buttons to decide. Nothing is written to the database until someone clicks. The screenshot and the PDF are captured automatically.
A new client added to the clients table is picked up without touching the code. The team keeps changing the database when it needs to, and the system keeps up.
The result
- For each article, the manual steps went from 8 to 2: read the 7 am email and approve.
- On the very first morning, the system caught an article that had never been logged.
Every piece of coverage about a client lands in the team’s database, whether it came from an alert, a search or someone who shared it. It is ready to show the client as proof of the work, with the Instagram caption already written, and it stays there as material for pitching new clients.
