Operations numbers spread across spreadsheets

One screen

for the operations numbers and what depends on each person.

The problem

To see how roles, candidates, results and people were doing, someone had to pull spreadsheets and reports together by hand. On top of that, each person had to filter everything to find what was theirs.

What we did

We built an operations dashboard on the recruitment tool’s data: roles, candidates by stage, results, people, applications and job ads. The funnels were defined with the team. For example, the rate from candidates created to candidates sent does not count as performance.

The numbers refresh every half hour during the working day, with a full refresh on Sundays. Only company accounts can sign in, and if a refresh fails an alert goes out by email.

When they open it, each person sees a “for you today” view built for their role: the open roles and the candidates already in the pipeline that depend on them.

Candidates who come in outside the automatic screening are also assessed in the dashboard, using what is already in the tool and the client’s latest requirements. Next to each one sits a verdict, the reason, and the questions to ask before committing to an interview.

The result

  • Reports are no longer put together by hand.
  • Each person sees their own list as soon as they open it, with no filters.
  • The team decides quickly on each candidate, with everything on one screen.

Management can decide with today’s numbers, without waiting for someone to put a report together.
